Position Summary

The Diocese of Winona–Rochester is seeking a dependable and detail-oriented Administrative Assistant to support the Finance Office and Human Resources Department. This position provides confidential administrative support to the Chief Finance & Administrative Officer and the Director of Human Resources and contributes to the effective day-to-day operations of the Pastoral Center. The ideal candidate is organized, professional, and able to manage multiple priorities in a fast-paced office environment.

Essential Duties and Responsibilities

  • Provide administrative support to the CFO/CAO and Director of Human Resources
  • Prepare correspondence, transcribe letters, photocopy, file documents, and manage telephone communications
  • Coordinate board meetings, including preparation, minute-taking, and meeting logistics
  • Open, process, and distribute finance office mail; prepare and total checks for deposit
  • Assist with proxy requests from parishes and diocesan institutions
  • Support departmental mailings and special projects
  • Maintain and update website content for Finance, Human Resources, and Benefits as assigned
  • Retrieve and distribute mail from the U.S. Post Office on a daily basis
  • Maintain calendars for the CFO/CAO and HR Director
  • Conduct research for presentations and administrative projects
  • Provide support to other Pastoral Center departments as needed

Required Knowledge, Skills, and Abilities

  • Ability to work efficiently in a deadline-driven environment
  • Strong organizational skills and attention to detail
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to maintain confidentiality and exercise discretion
  • Proficiency with Microsoft 365 applications
  • Ability to multitask, prioritize work, and adapt to changing needs
  • Typing speed of 50+ words per minute
  • Positive, professional demeanor and collaborative work style

Education and Experience

  • High school diploma or GED required
  • Associate or bachelor’s degree preferred
  • Minimum of two years of clerical or administrative experience
  • Experience in finance, accounting, or human resources preferred
  • Bilingual Spanish or bi-cultural Hispanic background is a plus

Physical and Work Requirements

Ability to perform multiple tasks under deadlines, sit for extended periods, lift 10+ pounds, and regularly use a computer and standard office equipment. Occasional schedule flexibility may be required.
